Town Engineer Town of Addison 16801 Westgrove Drive Addison, TX 75001-2818 Office: (972) 450-2857 -----Original Message----- From: Caldwell, Stan [mailto:scaldwell@halff.com] Sent: Friday, January 29, 2010 6:01 PM To: Clay Barnett Cc: Christiansen, Eric; Hughes, Lenny; Skipwith, Walter Subject: Vitruvian Bridges Design Charrette(s) Importance: High Clay: Thank you for selecting Halff Associates for this exciting project! I am writing to follow-up on our telephone conversation a few minutes ago, as well as your earlier telephone conversation with Eric Christiansen. At our interview yesterday, we proposed a one-day charrette to achieve consensus on the vision for the bridges. You have subsequently requested that Halff facilitate a charrette from Noon to 5:00 PM on Wednesday, February 10. We will do so, and we have already begun planning this event. However, we are concerned that this might not be enough time to achieve all goals. Consequently, I propose the following: 1] Session #1 - Noon to 5:00 PM on 02/10/10 The focus of this session will be extracting all of the various expectations of UDR and Addison, identifying the limitations or constraints that might alter these expectations, working toward a common vision, and listing all unresolved questions. 2] Session #2 - Noon to 5:00 PM, two or three days later The purpose of this session will be to pick a preferred option. Based upon the results of Session #1, Halff will prepare two or three options for each bridge including the conceptual structural design, conceptual aesthetics package, and preliminary cost and schedule estimates. The pros and cons of each option will be discussed, and UDR/Addison will then be asked to rank the options, or to pick the best elements of each. If consensus is reached quickly, the second session might not be necessary or might be relatively short. 3] Pre-meetings Halff needs to quickly get up to speed on the civil and landscape design philosophy and details, well ahead of Session #1. Please set up a two-hour meeting with the project civil engineer at a convenient time and location. Halff will send Eric Christiansen and Walter Skipwith. UDR and Addison are certainly welcome to attend. Halff would like to leave this meeting with a current set of civil plans and a complete understanding of the hydrology and hydraulics. Similarly, please up a two-hour meeting with the project landscape architect at a convenient time and location. Halff will send Eric Christiansen and Lenny Hughes. UDR and Addison are certainly welcome to attend. Halff would like to leave this meeting with a current set of landscape plans (master plan, site plan, parks plan and concept, and materials samples). Please assure the civil engineer and landscape architect that the purpose of these meetings is not to second-guess what they have done. Rather, Halff is simply trying to board a speeding train as quickly as possible. As Eric Christiansen promised you, we will send Halff's brief fee proposal for [1] + [2] + [3] no later than Tuesday morning, February 2. Best regards, Stan Stan R.
